Here is a list of measures you could take to reduce the printing costs and save revenue for your company. 1) Do you really need it? In this era of digitalization, the question you need to ask yourself before you give the command is ‘Is it necessary?’ Do I really need the hard copy of the document or will I edit it again? Most of the documents we prefer in the hard copy are part of our routine work . Asking yourself this one question before giving the one command would actually save a lot of work for the multifunction printer. 2) Put a message near the printer You think it is quite irritating but it really works. This is a practical and efficient way on optimization of printing costs and reduction in wastage of paper. 6) Tracking Software Installing a tracking software is another way of putting a check on all the printers. It would help giving a realistic view of your belief in the volume of hardcopies and the actual figures. It would be a direct measure against personal printouts which shall not be paid by the company. 7) Reduce the number of printers Reduction and removal of personal printers could help erase the ‘print everything’ habit of employees. Human nature depicts the unwillingness to walk around during their office hours and it could be exploited in the right way by installing the printer away from the cabins which would directly reduce the number of unnecessary copies.
