Tips to Cut On Printing Costs

Do you know you spend about 1 to 3% of your company’s revenue on printing costs even while the world is moving towards a digitalized one? Here is a list of measures you could take to reduce the printing costs and save revenue for your company.

1)      Do you really need it?

In this era of digitalization, the question you need to ask yourself before you give the command is ‘Is it necessary?’ Do I really need the hard copy of the document or will I edit it again? Most of the documents we prefer in the hard copy are part of our routine work . Asking yourself this one question before giving the one command would actually save a lot of work for the multifunction printer.

2)      Put a message near the printer

You think it is quite irritating but it really works. Putting a green message, especially in front of your compact colour laser printer, would make people notice it and try to reduce the printing. It is a great reminder for your employees in order to make them conscious of unnecessary exploitation of resources.

3)      Scan the ID Numbers

You could install software that demands the ID number or the Employee ID for documents. It would directly put a check on your employees and the people who utilize your laser printer frequently and unnecessarily.

4)      Set Efficient Defaults

Using cost and toner effective defaults would directly save on to the color toner and the cost. There are times you print a document in color whereas you only required the black and white copy. Putting save toner as a default measure could significantly reduce on your total costs.

5)      Use Manage Print Services program

It is a program provided by the brands in business of manufacturing of such machines that manages different aspects of your multifunction printers such as fax, printouts, scanning and copiers. This is a practical and efficient way on optimization of printing costs and reduction in wastage of paper.

6)      Tracking Software

Installing a tracking software is another way of putting a check on all the printers. It would help giving a realistic view of your belief in the volume of hardcopies and the actual figures. It would be a direct measure against personal printouts which shall not be paid by the company.

7)      Reduce the number of printers

Reduction and removal of personal printers could help erase the ‘print everything’ habit of employees. Human nature depicts the unwillingness to walk around during their office hours and it could be exploited in the right way by installing the printer away from the cabins which would directly reduce the number of unnecessary copies.
