No matter what the training session, whether it's inducting new staff or up-skilling existing staff, the success of that training usually hinges on the ability of the trainer or facilitator to connect with the trainees and simplify learning.

Whilst there are several special qualities that the effective trainer possesses that set him or her apart from the mediocre, one of the most crucial would be the ability to prepare and plan.

A well-structured session is made up of four separate stages, they are:

The preparation stage
The exposition stage
The testing stage
The summary stage
The most important of these is the preparation stage.

Whether you are training in a room or out on the work site, a well thought out plan with a clear set of objectives will enable you to structure your session so that information can be presented in a logical and sequential format.

There are several areas that you should consider when preparing and planning a training session:

1. The Knowledge

You should have a clear indication of the knowledge you want each trainee to gain throughout the session, how you aim to develop that knowledge, what training techniques you will use and how you intend to vary those techniques.

It is also a good idea to plan how much time you will devote to each section, consideration as to the right balance of theory and practice, what visual aids you will use and how the session will be evaluated.

2. Layout of the room

Planning and preparation also include things like checking that the set up of the room is as you want. When choosing the layout of the room the learner's comfort should be uppermost in your mind. You should also ensure that any machinery or visual aids you will be using are in place and in good working order.

3. The Audience

It is important to remember that no two training sessions will ever be the same. Just the personality of one person within the group can greatly affect the way a training sessions pan out.

Often, different people within the group have come to you for very different reasons - some may have come because they wanted to and others may be there because their boss has recognized a need for training in a specific area. So included in your plan should be questions that will help you build a rapport to enable you to gauge the individual needs of the people and their skill levels.

It is important to have a plan in place before you start each session and that plan should be flexible enough to enable to tailor each session to suit the needs of the particular trainees.
