Specifically designed to facilitate teamwork, Microsoft Teams is a chat and video chat platform that allows you to create an organization of work remotely. With tools such as chat and document sharing, workgroups can coordinate their smart working activities daily.

Owned by Microsoft, Teams integrates seamlessly with the rest of the Office suite apps, with Outlook and with clouds such as OneDrive, Skype, and OneNote and insurance policy number.

To use Teams, you need an Office 365 account with an Office 365 Business or Enterprise plan. Access to Teams is free and allows you to use the platform with the following features:

  • Unlimited use
  • Maximum 300 contacts in one chat
  • 10 GB of online space shared with other members of the organization
  • Additional 2 GB for each account added

Teams chat

Thanks to the Chat function it is possible to interact with all members of the Team through text, audio, video, and file sharing. It is also possible to send a message to individual members using the @ symbol followed by the name of the person you want to send the message to.

Private chat

In addition to the possibility of general communication with the whole team, it is possible to start a private chat with a single person or with a group. To do this, simply start a new chat and write the name of the person or people you want to talk to in the A field at the top of the screen.

The chats are saved and can be accessed at any time.

A private chat can then be shared at any time with the rest of the team.

Sharing files

You can share files with all team members by selecting the file from the Microsoft Teams site, Google Drive, Dropbox, or Box. If you share a Microsoft Office file (Word document, Excel spreadsheet, PowerPoint presentation, or OneNote notebook), anyone on your team can view it in the Teams interface and even edit it.

Planner

With the Planner function, you can track and share all the activities and projects of the workgroup.

Call and video call

From the Calls button in the Microsoft Teams sidebar, you can access the call and video call function very quickly.

Other applications to integrate

One of the most useful capabilities of Teams is the ability to integrate its functions with other apps and services. Here is the possibility, for example, of:

  • start meetings via Zoom or Webex with team members
  • Connect Trello or Asana and their project management and task management functions
  • Automate repetitive tasks with Flow
  • Share mind maps through MindMeister
