5 Ways to Avoid Calendar Clashes and Improve Productivity

Employees often complain that they were not able to complete the task or share feedback because they could not conduct the meeting on time. Scheduling meetings is a task as you have to figure out a time that works for all. 

All this back and forth in completing small tasks like scheduling meetings can hamper your employee’s productivity. Let’s find out ways to do that! You can just integrate a Dynamics 365 calendar plugin with your Dynamics CRM to avoid all the calendar clashes.

  • Improved Daily Task Management

Most organizations use CRM for daily task management. They create tasks and update task status after completion. Employees have multiple tasks assigned to them, each of varying lengths. And losing track of time while doing tasks is pretty obvious.

For an employee and organization, keeping track of activities in terms of productivity becomes challenging. The calendar plugin seamlessly integrates with the CRM and fetches all the entities from CRM records. It becomes easy to create tasks on the calendar. The date and time can be noted, and reminders can be set for the same. And task status update in the calendar will also update it in the CRM and vice versa.

Why use a different tool to manage the leaves of your team when you can do it within the calendar? The employees can add the leave request, and managers can approve the same from the calendar itself. 

Having employees' presence and absence on the calendar will help managers assign tasks. If someone is on leave, the calendar will show that the person is absent, and you cannot assign them a task for that particular date.  

  • Shareable Meetings Link

You or your employees can have meetings with external users as well. Now, it is obvious that they would not be your CRM users. So for them to book an appointment with you, you might have to use another calendar. In that case, you might miss some of the important appointments. Handling two different tools as calendars is not helpful. 

But these calendar plugins have a  feature called shareable appointment booking links. Any user can add their working hours and create a meeting link. This link would be shared with the external users, and they can book the appointment from the given time slots. Once the appointment is booked, the concerned person will be notified with an email.

  • Using Multiple Calendars

It can be confusing to manage different types of work tasks on the same calendar. Elaborating on that, let's say one of your employees, X has to train the freshers joining your organization. Now, on the very first day, the new joiners would not have their CRM account.  

So, X has to design the schedules for the new employees. Suppose X adds that to their calendar, it can be confusing. But as a solution, the calendar plugin allows you to make multiple calendars. X can create one calendar having a schedule for the trainees and one for themself.
