Before we start to understand and explore what knowledge management or automation of the knowledge management process exactly stands for and how it can be implemented, we should understand why we need it in the first place? What advantages can an individual, group, or an entire business gain from effective implementation of knowledge management?

To begin with, when we are talking about knowledge management, we are referring to a process that is far reaching. It is imperative for businesses to automate knowledge management in order to become a knowledge driven entity and to gain competitive advantage. The reasons why you should choose to implement and the benefits you will gain after doing so are endless. It is a widely accepted concept in the global market today, with organizations in all industries and sectors applying it. Moreover, businesses are now starting to realize that effective knowledge management is crucial for the innovation process and the development of new products, services, and solutions. If properly implemented and used, knowledge management software has the power of helping businesses achieve their objectives, or even set higher objectives. And knowledge management shouldn’t only be done to have more knowledge, but to use this knowledge to achieve objectives.

As already mentioned, there are a number of benefits of properly implementing knowledge management. For starters, it will significantly reduce costs. Most businesses are constantly reinventing the wheel as they are not aware that the things they are doing now, has already been done by someone. They don’t have a clear direction towards accessing all the available knowledge and they simply don’t know that is something already known. Doing this time and again is so costly and inefficient. On the other hand, a more systematic use of knowledge can result in significant cost benefits.

While reducing cost is an important benefit, service effectiveness achieved as a result of better access and application of knowledge is no less. As effective management does things collectively and systematically, it allows to not repeating the same mistakes all the time. Doing the same mistakes is again so inefficient and costly. Thus, knowledge management can have a dramatic impact on the effectiveness of services and products. And when we know the needs of our customers, employees, stakeholders, and other important people, our relationship management will see an obvious effect.

So, it can be clearly seen how knowledge management can contribute towards improved business excellence.
