Management journal

My position involved analyzing and processing claims and expenses reimbursement requested related to default and foreclosure of families.  The job run for six months and I were attending the second shift (Wednesday, Friday and Saturday).The journal is meant to offer a reflection of management in daily activities and assist in improving leadership skills.

Entry 1

Today was my first day in my new job. I have not done a lot apart from familiarizing with the work environment and responsibilities. The huge pamphlet of my job description scares me, and I do not what to expect tomorrow. I also realized the huge volume of client attending the section I have been assigned.  In addition, I noticed that the section was busy, and most of the employees were busy all the day. The manager seemed a gentle person, and he did not micromanage employees.

Lesson learnt

 The day did not present a lot of opportunities to learn because I was new in the job. However, the day gave me psychological preparedness to expect huge volume of work and busy days.

Entry 2

The day has been hectic. I do not understand why everyone keeps on referring all clients to me. All the daylong my fellow workers kept on referring clients to me yet they did not have as many clients. I am sorry that I had to reschedule some of the clients to another day. Importantly, I have to consult the supervisor on how to resolve the issue. I feel my workmate are referring many clients to me because I am new and young, and they need time to do other things.

Lesson learnt

Lack of a clear job description and effective supervision of employees can lead to chaos.  Employees in the organization seemed demotivated, and they were less concerned about clients. Their focus was on hours, and they did care about the outcome of the organization. Having a shared vision and motivating employees is vital for the success of a business.

Entry 3

I thank the manager for shifting me from the reimbursements claim department to records and information department.  The reimbursement department was busy, and things were chaotic every day.  In the records and information department everything seemed organized, there was no excessive workload, and my responsibilities are clearly outlined. However, I regret the disagreement I had with my colleague in the department of reimbursement. I am grateful the supervisor intervened on the right time to avoid a major rift between us.

Lesson learnt

Conflict sin the workplace is inevitable, and they require amicable solution and effective resolution mechanism.  Managers and supervisors need to be in touch with their employees so that they can identify conflicts and the right time.  It is also important to avoid win-lose situation while resolving conflicts by involving all the aggrieved parties.

Entry 4

The organization of the organization’s library is over after a week long of activities.  It was thrilling to note the effort every member of the group put in the activity and the inspiring leadership of the head of department. Regardless of his position, he joined me in arranging the manual files and gave a lot input and advice on how to arrange the files. Without the support, I would have had a rough time because it was my first time to be involved in such an activity. 

Lesson learnt

The head of department had a well-established schedule of activities, and everyone had his responsibilities clearly cut.  Timelines and goals of the activity were communicated to all of us. The effective planning, inclusion of all, perfect organization and coordination enabled the department to achieve its goal within the time.   The importance of planning, delegation and organizing were emphasized.

Entry 5

The webinar offered today was informative.   I am grateful to the management for providing us with the opportunity to learnt current practices in effective record management.  It was interesting to learn how an organization can digitize its records and achieve numerous benefits. I expect to write a proposal to the head of the department on how to digitize the department and the benefits of digitizing the operations of the organization.

Lesson learnt

Professional development is an essential part of every profession. Managers and leaders have to keep the tub on the current practices and ensure employees have up-to-date skills.  While planning such activities, it is essential to involve all stakeholders to ensure their success. 

Entry 6

  Today has been one of the most successive days in the organization.  I am grateful to my co-workers for supporting me in organizing the farewell party of the human resource manager.  I did not expect senior employees   to support me either did I expect them to attend the party.  The support of the finance department was overwhelming, and the cooperation of other team members was thrilling. I am especially grateful to Mss Swift for her input and encouragement. She was the backbone of my success. I am also grateful to the overall management for trusting I could manage the event without a hitch.

Lesson learnt

The management entrusted a huge responsibility on me today, and I thought I could not manage but the support of my colleagues was overwhelming. Some of the lessons I learnt is that management, even of a small event, requires a lot of cooperation and team work. Involvement and inclusion all people are essential.

Conclusion

Although I was in a management position, I have able to practice and learn various functions, responsibilities and expectations of management. Management as a daily function was evident in almost all activities. I have a paradigm shift on management. I have to realize that management does not necessarily involve budgeting, confining meetings, delegating responsibilities and controlling.  It also involves making simple decisions, organizing and conducting simple activities and facilitating others to achieve goals.
