Tips To Ensure The Success Of An Indian Corporate Event

Posted by Rita H Peterson on September 27th, 2019

The process of conducting Indian corporate events in NYC is more or less the same as any other event. There would, of course, be a few minor differences like the food and the ambiance but as long as you take care of the basics you should be fine. Because like other corporate events, Indian corp events are about promoting a company, usually an Indian one. The purposes are also similar, like connecting with the external and internal public, launching a new product, etc. You can make sure that your event is a hit with the guests invited by following the following tips:

Determine The Purpose

Indian corporate events in NYC may be fun but they are not done for fun. There is always a purpose. You need to determine why you are hosting the event before you start making plans. Is it to build bonds with your employees? Is it to promote and launch a new product? Is it part of your corporate social responsibility (CSR)? Including a dance routine would be pretty pointless in a product launch unless your product is a speaker. Another thing to consider is whom you want to connect with.

Set The Budget

The budget is the key to all aspects of event planning. It will decide how many people you can reach, venues you can lease, activities you can hold, the equipment you can rent, the decorations, etc. If you plan on reaching a small audience, a small budget should be enough. The type of event you are hosting is another factor to consider, a press conference would cost less than a conclave.

Hiring An Event Planner

Many companies cut corners here by handing the responsibility of event planning to one of their staff. This can be problematic if that employee’s job description is not event management because they have to juggle between their regular job and something they have no experience in which will negatively impact the fest. This is why hiring a professional event planning firm for large scale or external public events is a better solution. They have the necessary resources and connections you will need to ensure your event’s success.

Venue

An event by nature is something that is happening somewhere. Your event venue should obviously be large enough to host the number of guests you expect. It should be close to the main roads and public transport to enable them to reach the venue with ease. It should have basic facilities like tight security, toilets, medical staff, parking lot, etc. You must absolutely make sure that the venue is free during the dates you plan on hosting the event and book it in advance.

Promotion

The whole point of hosting events is to connect with people which can’t happen if they don’t know about it. Use of social media is an absolute must. You can also promote it on other media if it’s important enough. Be sure to plan for post-event promotions as well to let everyone know how successful the event was.

Activities

Even a serious event should not be boring. It should engage the mind and leave the guests thinking about the corp event for a long time. Keep all the speeches short and focus on important activities like Q&A sessions and launch. Complement the main event with interesting side events like video presentations, photo booths, quizzes, etc.

Food

One thing the guests would surely talk about for a long time to come is the food. For an Indian event, you’d obviously want Indian cuisine. Be sure to choose a catering service with a good record and a small venue. Don’t go crazy on the cuisine, choose delicious easy to prepare meals like pakora, tikka kebabs, etc. Also be sure to accommodate for vegan, halal, gluten-free or any other dietary restrictions your guests may follow.

Ambiance

A normal corporate décor should be enough. If you want to connect with an Indian audience at a deeper level, you could go for Indian style decorations. If you want your guests to follow a dress code, be sure to inform them of it as Indian dresses come in many varieties depending on the state.

You can ensure the success of your event by keeping these points in mind.
